What registration tells you

Your advisor is registered. That was the regulator's check, not yours.

CIRO runs police and bankruptcy checks before it approves a registered representative. In Ontario, FSRA has life agent applicants complete a criminal record check through its own vendor. Both results go to the regulator.

What comes back to you is an approval, not a file. And the regulator still expects the sponsoring firm to do its own due diligence.

  1. 01

The result goes to the regulator.

You hold a registration number. The record behind it stays with CIRO or FSRA.

  2. 02

    It is a snapshot.

It was accurate the day it ran. Nobody re-checks on your behalf between filings.

  3. 03

Most of your staff are not registered.

Client service, operations, payments, IT and data teams sit outside registration. Many of them can see client accounts.

  4. 04

    Contractors come through other firms.

Temp staff and consultants arrive via agencies and vendors whose screening you may never have seen.

Federally regulated institutions

If OSFI supervises you, background checks are part of the guideline

OSFI's Integrity and Security Guideline asks federally regulated banks, insurers, and trust and loan companies to put responsible persons, employees and contractors through risk-based background checks. Checks happen before hire, are renewed on a regular basis, and are reviewed off-cycle when something changes.

The guideline names the checks. Credibled runs each of them from one account.

The guideline also asks you to look at your third parties' background check processes. If a vendor or staffing agency supplies your contractors, they can screen on Credibled and send you the report as a PDF.

Credibled is not a substitute for a government security clearance. If OSFI asks specific individuals to obtain one, that is a federal process.

Credit check for employment

A credit check you can read in 10 seconds

For roles that touch client money, lending decisions or the vault, a credit check is often the most relevant check you run. The usual problem is the report: pages of tradelines written for a lender, not a hiring manager.

Credibled puts a plain-language grade at the top, with the detail underneath.

  • Grade and score. A letter grade, the score and an estimated default risk.
  • What matters for the role. Collections, bankruptcies, judgments and public records called out, not buried.
  • Consent built in. The candidate is told about the credit check and consents before it runs, from their phone.

Renewed on a regular basis

Rescreen without a project plan

A criminal record check is accurate on the day it runs. Whether you rescreen every year, every three years, or when someone moves into a higher-risk role is your policy, and Credibled runs it on demand.

Send a link, the employee completes it from their phone, and most criminal record checks come back in about 15 minutes. If someone on your team already ordered the same check in the last 30 days, you see it before anything is charged.

References and employment verification

A clean record is not the same as a verified résumé

The registration check tells you someone has no disqualifying record. It does not tell you they ran the book they say they ran, or left their last firm on good terms.

Employment verification, straight from the employer

We contact previous employers directly to confirm titles and dates. No third-party database. Several attempts over 3 business days, and we report what we find either way.

Reference checks at $9 per candidate

Not per referee. The candidate enters their own referees, reminders go out automatically every 24 hours for up to 10 days, and the report arrives as a PDF.

More on reference checks

References you can rely on

Credibled flags a reference when the candidate and referee submitted from the same IP address or device, or when the reference came from a personal email. You review it, you decide, and your decision is logged.

Duplicate detection

Two branches, one candidate, one charge

The same candidate applies to your Toronto and Calgary offices, or to the bank and its insurance arm. Both screen them, and nobody notices until the invoice.

Credibled catches it at the point of request, across every check type, going back 30 days. You see which check was ordered, its status, who ordered it and when. Then you cancel, or proceed anyway.

Pay per check

Priced for the way you hire

Hiring in financial services comes in waves: campus intake, branch openings, a new advisory team. Pay per check. No subscription, no minimum, no annual commitment.

You only pay for completed checks, never ones still waiting on a candidate. Sign up with a work email and run your first check the same day.

Support

A named account manager, at any volume

Every account gets a named person, at 5 checks a month or 500. Not a shared inbox, not a ticket queue.

When a result comes back incomplete on a Friday and the new hire starts Monday, that is the difference between a phone call and a support ticket.

Straight answers

What we can't do, so you know upfront

We aren't part of registration or licensing.

CIRO and FSRA run their own checks for registration. The screening on this page is what you run as the employer, which is separate.

We can't grant government clearances.

Reliability Status, Secret clearance and similar are federal processes. We screen alongside them, not instead of them.

We can't run a vulnerable sector check.

No Canadian provider can. It is requested through the police service where the candidate lives.

We don't make the decision.

We report what we find. Whether it disqualifies someone is your call, made within human rights law.

FAQ

Questions financial institutions ask

01Regulation

Do banks do background checks on employees?

Yes. OSFI's Integrity and Security Guideline expects federally regulated banks, insurers, and trust and loan companies to run risk-based background checks on responsible persons, employees and contractors, before hire and on a regular basis after. Provincially regulated credit unions and firms set their own policies, and most screen at least for identity and criminal record.

What does OSFI expect a background check to include?

At a minimum, verification of identity and background, frequently with education, professional credentials and references. For responsible persons and higher-risk roles, OSFI adds a criminal record check and a credit check. Credibled runs all of these from one account.

Our advisors are already registered with CIRO. Why screen them again?

CIRO's checks support its own registration decision, and the result stays with CIRO. CIRO also expects the sponsoring firm to do careful due diligence on its applicants. Your own dated file of references, employment verification and criminal record and credit checks is that due diligence.

Do insurance agents need a background check in Ontario?

FSRA requires life and accident and sickness licence applicants to complete a criminal record check through FSRA's approved vendor as part of licensing. That check goes to FSRA. Insurers and agencies that want their own record screen separately.

Can we screen contractors and temp staff?

Yes, and OSFI's guideline covers them. Screen them directly on Credibled, or ask the agency that supplies them to screen on Credibled and send you the PDF report.

Is a background check the same as a security clearance?

No. Security clearances are run by the federal government. A background check is what you run yourself, before hire and between renewals.

02Credit checks

Can an employer run a credit check in Canada?

Yes, with the candidate's informed consent. Some provinces add notice rules. In Ontario, the Consumer Reporting Act requires the candidate to be told a credit check will be requested. On Credibled, the candidate sees and accepts the consent before anything runs.

Does an employment credit check affect the candidate's score?

No. An employment credit check is a soft inquiry and does not lower the candidate's credit score.

What does the credit report show?

A plain-language grade and score, estimated default risk, tradelines, collections, bankruptcies, judgments and other public records.

Which roles should get a credit check?

Roles with access to client funds, lending authority, payments, cash or sensitive financial data, and anyone OSFI would treat as a responsible person. A credit check is rarely relevant for roles without that access.

03Speed and coverage

How long does a background check take?

A Canadian criminal record check usually comes back in about 15 minutes and almost always within 4 hours. Credit reports, identity verification and public records are instant. Employment, education and credential verification depend on how fast the other party replies.

Can you screen candidates who lived outside Canada?

Yes. International criminal record checks cover more than 200 jurisdictions, with turnaround and pricing published for each. Identity verification works across more than 13,500 document types.

How often should we rescreen?

That is your policy, or your regulator's. OSFI expects checks to be renewed regularly and reviewed off-cycle based on set criteria. Many institutions rescreen every 1 to 3 years, and when someone moves into a higher-risk role.

04Records, cost and getting started

What do we show an examiner or auditor?

The screening file. Every check is dated and sourced, every integrity alert shows who reviewed it and what they decided, and every report downloads as a PDF.

Where is the data stored?

In Canada, on AWS. Credibled is PIPEDA compliant and encrypted in transit and at rest.

How much does it cost?

Reference checks are $9 per candidate. Other checks are priced per check, with no subscription and no minimum. Education verification, employment verification and US criminal court searches carry published pass-through access fees.

Can we run checks from our HRIS or ATS?

Yes, through the API. Trigger requests, pull results and receive status webhooks from the system your team already uses.

Can I start today without talking to sales?

Yes. Sign up with a work email and run your first check the same day. If you need a security review first, book a demo and we will walk your team through it.

Every check on file before the examiner asks.
